How to compress images in PowerPoint and Word

Office embeds every image at full resolution, including the parts you cropped away. One dialogue fixes both, and it is not where most people look.

Compressing a document

  1. Step 1: Save a copy first

    Compression in Office is destructive and applies on save. Deleted cropped areas and discarded resolution cannot be recovered, so work on a duplicate if the original matters.

  2. Step 2: Open Compress Pictures

    Click any image in the document, go to the Picture Format tab on the ribbon, and choose Compress Pictures. It is an easy button to miss, and it is the only place these options live.

  3. Step 3: Untick 'Apply only to this picture'

    Left ticked, you compress one image and wonder why the file barely changed. Unticking it applies your choice to every image in the document at once.

  4. Step 4: Tick 'Delete cropped areas' and choose a resolution

    Cropping in Office only hides the rest of the image — it is still in the file. Deleting cropped areas is frequently the largest single saving. Then pick a resolution: Web for screen viewing, Print if it will go on paper.

Details worth knowing

Cropping does not remove anything

When you crop an image in PowerPoint or Word, Office stores the full original and simply displays a window onto it. That is genuinely useful while you are working — you can re-crop later without losing anything — and it is why a deck full of tightly cropped photographs can be enormous.

A photograph cropped to a tenth of its area is still occupying its full original size in the file. Ticking "Delete cropped areas of pictures" discards the hidden parts and often shrinks a deck more than any resolution change.

It is also irreversible, which is why the first step is to save a copy.

What the resolution presets mean

High fidelity
Keeps the original resolution. No saving at all.
HD (330 ppi)
For material that will be printed at high quality.
Print (220 ppi)
Good for anything going on paper. A sensible default for documents.
Web (150 ppi)
The right choice for a deck that will be presented or emailed. Typically a very large saving.
Email (96 ppi)
Smallest, and visibly soft if the deck is later shown on a projector.

The values are relative to the size the image is placed at on the page, not to its original dimensions — which is why placing a huge image and shrinking it on the slide wastes so much.

Turn off automatic compression for source files

Office also has a document-level setting under File → Options → Advanced → Image Size and Quality, including "Do not compress images in file" and a default resolution.

These are worth knowing about in both directions. Turning compression off preserves quality in a master document you will edit for months. Setting a low default resolution means every image you paste from then on is compressed automatically, which is convenient for a deck you know is only ever going on screen.

The habit that avoids all of this

Compress and resize images before you place them. An image that arrives in the document at 1600 pixels and 200 KB never needs fixing afterwards, never doubles the file through hidden cropped areas, and never forces a destructive pass over the finished deck.

Why is my PowerPoint file so large?

Almost always images, and very often the hidden parts of cropped ones. Office keeps the full original behind every crop, so a deck of tightly cropped photographs can be several times larger than it appears. Compress Pictures with 'Delete cropped areas' ticked usually fixes it in one pass.

Where is the Compress Pictures option?

Select any image, then look for the Picture Format tab on the ribbon — Compress Pictures sits in the Adjust group. It only appears while an image is selected, which is why it is so often missed.

Does compressing pictures reduce quality?
